A strong Business Profile begins with eligibility, ownership and accurate business facts. Optimization comes after those foundations. Use this checklist in order, record evidence for every change and avoid editing sensitive fields merely to chase a keyword.
STEP 1
Confirm eligibility, ownership and recovery access
Confirm that the business is eligible before optimizing anything. Google permits a profile for a business that meets customers at a staffed location or travels to customers. A service-area business should normally use one profile for its real central location and should not use a virtual office unless it is staffed during stated hours.
- Record the verified owner and at least one trusted backup owner.
- Confirm that the business name matches real-world signage, stationery and customer-facing branding.
- Verify that the address or hidden-address service-area setup reflects how customers are actually served.
- Remove former employees and unknown third parties after confirming that access is no longer required.
- Document the recovery email, recovery telephone number and the person responsible for future access reviews.
Never hand a master Google password to a marketing provider. Add a named manager or owner and retain control inside a client-owned account.

STEP 2
Make the business identity complete and consistent
Check the name, primary phone, website, hours, holiday hours, address visibility and service areas against the website and the way the business represents itself offline. Consistency does not mean forcing every directory into identical punctuation. It means that a customer can recognize the same legitimate business everywhere.
Use a direct local phone number when practical. Send the website link to the most useful landing page, add UTM parameters for measurement and test the link on mobile. Business hours should reflect when someone can genuinely help a customer. Add special hours before holidays instead of letting outdated hours remain visible.

STEP 3
Choose categories first, then describe services accurately
The primary category should complete the sentence “this business is a.” It should describe the main business model, not every task the team can perform. Add only the additional categories that represent meaningful parts of the actual business.
Google advises businesses to use a specific primary category and a small number of relevant additional categories. Category changes can trigger reverification, so record the current setup and the reason for each proposed change. Review the detailed Google category guidance before saving.
After categories are correct, complete the services section with customer-friendly names and accurate descriptions. Do not use the services list as a place to repeat cities or promotional claims. Align important services with substantial pages on the website so the profile and site tell the same clear story.
STEP 4
Show current proof and make honest feedback routine
Upload real, current photographs that help customers understand the business. Useful groups include team, vehicles, storefront or service base, completed work, equipment and the process customers can expect. Use images the business owns and obtain appropriate permission before showing customers or private property.
Create a review request process that asks all eligible customers for honest feedback at a natural point after service. Do not offer discounts, gifts or contest entries for reviews. Do not ask only satisfied customers. Google explicitly prohibits incentives and selective solicitation in its fake engagement policy.
- Save the direct review link in the CRM or job-completion process.
- Assign a person to send the request.
- Respond to positive and critical reviews without exposing private details.
- Track recurring themes that should inform training or website content.
- Flag content only when it violates policy, not merely because it is negative.
STEP 5
Test every action a customer might take
Open the profile from a signed-out mobile browser. Call the displayed number, follow the website link, test appointment links and confirm that messages or quote requests reach an accountable person. A profile can generate visibility while still losing enquiries through an ordinary broken handoff.
Add UTM parameters to website links so Analytics can distinguish profile traffic. Record calls, forms, bookings and qualified enquiries separately from views. Profile activity is useful diagnostic data, but the business outcome depends on whether the right customer makes contact and receives a useful response.
STEP 6
Turn optimization into a controlled monthly routine
Review access, suggested edits, hours, categories, services, links, photos, reviews and performance each month. Update information when the business changes, not simply to create activity. Keep a change log with the date, old value, new value, reason and person who approved it.
Compare performance over useful periods and account for seasonality. Investigate sudden declines alongside verification status, policy notices, website availability, category changes and local competition. Avoid making many sensitive edits at once because that makes diagnosis harder.
